Payments are captured from the 'Accounts' section of Diarize Me. If you permit it, a client account may consist of many appointments and services. A client account will remain in an open state until the client pays the amount owed to settle the account. At the time of closing, you can generate an invoice and give it to the client as proof of their payment.
To capture a payment, you can follow one of the following paths:
Via the Accounts section
On the left navigation panel, click on 'Accounts'
The accounts screen will display a search box which will allow you to search for your open or closed accounts:
You can either click on 'Search' to list all accounts that are in an open state, or enter a part of, or the entire clients name and clicking the 'Search' button:
Below the search box, a list of accounts that match your search criteria will appear:
Click on the line of the account you wish to open and you will be taken to the account screen:
This screen highlights the appointments, services and stock items that are on the client's account.
On the right-hand menu, there are various account related shortcuts that you can use such as:
- Adding an extra (Stock Item)
- Add Payment
- View The 'Invoice to'
- Change the reference
- Send a Secure Link (Email Client Invoice)
To add a payment, click on the 'Add Payment' button. When clicked, a dialog will open letting you capture the amount you want to add as well as the payment method:
Once you enter the amount you want to add as well as the payment method, click on 'Pay Now'.
This will do the following actions:
- Add a payment to the account, which is now viewable in the account
- Close the account if the amount paid is equal to the amount owed
You will notice that the payment now reflects on the account and the status of the account is now closed. This is now seen that the client is no longer a debtor.
The right-hand navigation menu has also changed. You are now able to:
- View The 'invoice to'
- Print an invoice
- re-open the account
