An appointment is a block of time where you are providing a single service or multiple services to a client. Before you try and create an appointment, ensure that you have added at least 1 service.
Appointments are added from the appointment calendar. From the 'Home Screen' or from the left navigation panel, click the 'Appointment Calendar' button:
Once on the Appointment Calendar, you will either see your own schedule, or everyone's (depending on your permissions within Diarize Me).
The navigation icons above the calendar allow you to switch views (Staff Week or Staff Day) and let you navigate forward and backwards between dates. To quickly jump to a date, you can also use the date picker to quickly select a date and jump to it in the calendar view.
To create a recurring appointment, simply click a time slot that you want. A dialog will open prompting you for the appointment details:
The required fields here are the client name, the service you are performing and the date and time. You will notice that the date and time are pre-set to the date and time you selected in the calendar view.
When entering a client name, the system will search through your clients and list them for you:
If the appointment is for a client that appears, select him/her by clicking on their name. If the appointment is for a new client, just continue to type out their details and they will be added as a new client.
Once you select the service that you want to add, the end time of the appointment may change depending on what the service duration is.
Click on the 'Repeat?' tock-box and select the recurring frequency for your client appointment.
Appointment notes are optional and they are saved to each individual appointment. If there are details about the client or appointment that are specific to this appointment, you can add them here. :)
Once you are satisfied with the client details and the service, click on the 'Save' button. This will do the following actions:
- Add the client to your database if it is a new client
- Allocate the appointment to the client
- Create an account under the clients name or, if an account already exists, append to it.
Once this is done, you will see the appointment appear in your calendar view. Clients will receive notifications for their recurring appointments.
